Terms of participation

Last updated: 24 October 2026Version: 0.1

Draft document. These are not final sale terms: until they are approved, no payment is taken on the basis of this document.

Draft terms of participation in the GIG FLY Festival: how an enquiry is made, what the trip includes, who is responsible for what, and what still has to be confirmed.

Status of this document

This is a draft of the terms of participation in the GIG FLY Festival project. It was prepared for review by a lawyer and is not a final set of sale terms.

The terms become binding only after they are approved by the organiser of the music programme and by the seller of the travel package.

Until they are approved, no payment is taken on the basis of this document, and a place is confirmed only after written confirmation from the seller of the travel package.

  • GIG FLY is the name of a project, not of a legal entity. It does not confirm that a company exists.
  • Trip dates and the composition of the programme are published after the organiser confirms them.
  • The wording of this document has to be reviewed by a lawyer, including for compliance with the law of the participant's country.

Organiser of the music programme

The festival's music programme is prepared by the GIG FLY project team together with Gig House musicians.

The organiser of the music programme is responsible for preparing and running the concerts, rehearsals and meetings with artists during the trip.

Organisational contact: +972 54-774-0884. This is the phone number and WhatsApp of the trip organiser.

  • To be confirmed before publication: the organiser's full legal name, registration number, address for official correspondence and contact email.
  • To be confirmed: the person responsible for the music programme and how to reach them.

Seller of the travel package and recipient of payment

The travel package (accommodation, meals, treatments, transfers, excursions) is arranged by the project's travel partner. Payment goes to the seller of the travel package.

The GIG FLY project is not named in this document as the recipient of payment: the payment recipient still has to be confirmed.

  • To be confirmed before payment is accepted: the seller's name, registration number, address and licence details, where a licence is required.
  • To be confirmed: the payment recipient's details, the settlement currency and the documents issued after payment.
  • Until this is confirmed, the site does not accept payment and does not confirm places.

Division of responsibilities

Several providers take part in the trip. Each is responsible for its own part of the service, within applicable law and its own rules.

  • Organiser of the music programme: concerts, rehearsals, meetings with artists and the music part of the trip.
  • Seller of the travel package: arranging the package, booking accommodation and transport, accepting payment, booking documents.
  • Eglės Medical Spa: accommodation, meals, medical consultations and treatments, pools, saunas and spa areas, and the rules of those areas.
  • Carriers, excursion and other providers: flights, transfers, excursions and their own terms.

Personal insurance is arranged by the participant: the organisers do not arrange or provide an insurance policy.

To be confirmed before publication: the exact provider names and the confirmed division of responsibilities, including who is responsible for flight changes, postponements and refunds.

Enquiry and booking confirmation

An enquiry on the site is a preliminary request. It is not a contract, does not confirm a place and does not oblige you to pay for the trip.

After the enquiry, the organiser contacts you and sets out the terms of participation and the payment procedure.

A booking is confirmed only after written confirmation from the seller of the travel package and receipt of payment.

  • To be confirmed: how long an enquiry remains valid.
  • To be confirmed: the minimum number of participants and what happens if the group does not form.
  • To be confirmed: the details needed for booking beyond a name and a contact.

What the package includes and extra services

Preliminary package: accommodation at Eglės Medical Spa, meals under the spa programme, a doctor's consultation and treatments, the transfers the trip programme provides, and the GIG FLY music programme.

Available for an extra charge: excursions, additional treatments, independent trips.

The room category, the number of nights and the final composition of the package are confirmed by the seller of the travel package at booking.

Personal insurance is not included in the price and is arranged by the participant.

Price, currency and payment

Current prices are shown in the price section of the site and are confirmed at booking.

The payment procedure is to be confirmed before publication:

  • the settlement currency and how conversion works;
  • the amount and deadline of the deposit, and the deadline for the final payment;
  • who receives the payment and by which methods;
  • which documents are issued after payment;
  • in which cases the price may change and how the participant is told.

Until these terms are approved, the site does not accept payment.

Documents needed for the trip

The list of documents depends on the participant's citizenship and on the route. The exact requirements are confirmed by the seller of the travel package before payment.

  • Passport and entry permission: the participant checks the validity of the document and holds the necessary permits.
  • Documents for the spa: to be confirmed, including whether certificates or advance booking are needed.
  • Medical documents are not collected or requested through the enquiry form.

To be confirmed: entry document requirements, how far in advance they are submitted and whether translations are needed.

Personal insurance

Personal insurance is not included in the price of the trip. The organisers do not arrange or provide an insurance policy for participants.

Each participant arranges a policy independently and at their own expense for the whole period of the trip, including the days of departure and return.

Cover for medical care, medical transport, pre-existing conditions, use of pools and spa areas, treatments and excursions is checked against the terms of the individual policy.

Not holding a policy does not remove the participant's legal rights.

Medical matters and safety

The organisers of the music project do not provide medical services, do not prescribe treatment and do not guarantee a medical result. Medical consultations and treatments are provided by the facility and its specialists.

The participant gives the medical specialist the information needed to prescribe treatments safely and follows medical advice and contraindications.

When using pools, saunas, spa areas, excursions and other facilities, the participant follows the facility's rules, warnings and staff instructions. Closed areas and equipment must not be used.

If something happens, contact the facility staff immediately, call the emergency services and your insurer where needed, and inform the organiser.

Responsibility for a particular incident is determined by applicable law and the circumstances. This document does not exclude or limit liability that cannot be excluded or limited by law.

Changes to the programme

The organiser may change the order and timing of individual events in the music programme for technical, weather or organisational reasons. Participants are told about changes.

Substantial changes to the composition of the package are handled through the seller of the travel package.

What happens on cancellation or postponement is set out in a separate document.

Cancellation and refunds →

To be confirmed: which changes count as substantial and what alternatives are offered to the participant.

Cancellation and refunds

Cancellation, changes and refunds are described in a separate project document.

Cancellation, changes and refunds →

The specific percentages, deadlines and deductions are filled in there only after the travel partner's terms are received and reviewed by a lawyer. Until then they are not published.

The site's terms do not limit mandatory consumer rights set by law.

Enquiries and complaints

Enquiries are accepted by phone and WhatsApp of the organiser: +972 54-774-0884, and in writing at the address to be added to this document after approval.

The phone number is an organisational contact. It is not the only way to cancel, raise an enquiry or make a complaint: a written notice may be sent through any channel named in the booking confirmation.

How we handle it: we confirm receipt of the enquiry and state the response time.

  • To be confirmed: the email and postal address for official correspondence.
  • To be confirmed: the person authorised to handle complaints.
  • To be confirmed: the response time and the time allowed to review a complaint.

Applicable law and consumer rights

Applicable law and the way disputes are resolved are determined by the law of the seller's country and by mandatory rules of the participant's country. The exact wording has to be reviewed by a lawyer.

No term in this document removes mandatory consumer rights. Where a term of the site conflicts with mandatory law, the law applies.

The organisers do not exclude their liability for their own acts or omissions and do not ask anyone to give up the right to go to court.

What still has to be confirmed

Before the documents can be approved, the project still needs:

  • the legal names, registration numbers and addresses of the organiser of the music programme and of the seller of the travel package;
  • the email and postal address for official correspondence, and the person authorised to handle complaints;
  • the payment recipient, its details, the currency and the payment procedure;
  • a confirmed division of responsibilities between the organisers, the travel agency, the spa and other providers;
  • the providers' rules on cancellation, changes and refunds;
  • the document requirements for the trip and the partner's requirements for personal insurance.
